Overview

The Junior Procurement Specialist supports the procurement cycle by sourcing suppliers, managing purchase orders, maintaining accurate records, and coordinating with internal and external stakeholders. The role also includes responsibility for ensuring that orders are delivered correctly and on time to end customers. Strong Excel skills and professional English are essential. The candidate must also be willing to learn and work with MS Dynamics ERP.

Key Responsibilities

1. Procurement Operations

  • Assist in the end-to-end procurement process (sourcing, requesting quotations, supplier evaluation, issuing purchase orders).
  • Request and evaluate supplier quotes and prepare comparison sheets.
  • Maintain supplier databases, price lists, and procurement catalogs.

2. Delivery & Customer Fulfillment

  • Ensure orders are delivered accurately and on time to end customers.
  • Coordinate with logistics, warehouse, and delivery teams to confirm order readiness.
  • Track deliveries, follow up on shipment status, and escalate any delays or issues.
  • Communicate with customers regarding delivery schedules, confirmations, and any required updates.
  • Handle delivery-related documentation and ensure proper record-keeping.

3. Documentation & Reporting

  • Prepare and update purchase orders, delivery notes, GRNs, and procurement records in Excel and ERP.
  • Ensure documentation aligns with company policies and audit requirements.
  • Produce periodic procurement and delivery reports (spend analysis, delivery KPIs, supplier performance).

4. Data Management & Analysis

  • Use Excel for procurement and delivery data analysis (tables, formulas, SUMIFS, VLOOKUP/XLOOKUP, PivotTables).
  • Maintain procurement trackers for POs, PRs, deliveries, and supplier performance.
  • Analyze spending and delivery performance to support cost and efficiency improvements.

5. Supplier Coordination

  • Communicate professionally with local and international suppliers.
  • Follow up on order confirmations, delivery timelines, and required documents.
  • Support the negotiation process with data-driven insights.

6. ERP System (MS Dynamics Preferred)

  • Enter procurement and delivery data accurately in Microsoft Dynamics ERP.
  • Learn ERP workflows related to purchasing, inventory, and delivery.
  • Support ERP implementation or enhancements if required.

Required Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain, Logistics, or a related field.
  • 1–2 years in procurement, purchasing, or supply chain.
  • Experience handling suppliers, purchase orders, or logistical coordination is a plus.
  • Advanced Excel (tables, formulas, SUMIFS, VLOOKUP/XLOOKUP, PivotTables).
  • Good understanding of procurement and delivery workflows.
  • Willingness to learn MS Dynamics ERP.
  • Professional English (written and spoken).
  • Strong email communication with vendors and customers.
  • Strong attention to detail and accuracy.
  • Excellent coordination and follow-up abilities.
  • Good problem-solving skills.
  • Ability to prioritize and manage multiple tasks.
  • Proactive and willing to learn.
